GSMA – Our role in the mobile industry

About Customer Care at GSMA

The events business is one of GSMA’s largest revenue streams for funding the initiatives that we carry out on behalf of our members in the mobile telecoms industry.

Current events in our portfolio include, but are not limited to; Mobile World Congress Barcelona, Shanghai and the Americas as well as Mobile 360 conference series.  Our events consist of thought leadership conferences and seminar content, cutting edge keynotes from the world’s leaders in telecoms, entertainment, high-tech and media, and extensive exhibition, sponsorship, advertising and media components. GSMA always strives to lead rather than follow trends, and is always developing new concepts and platforms, including events, in all areas around the world.

The Customer Care team play an extremely important role in ensuring GSMA’s clients and members, who regularly participate at our events, are satisfied with the level of support and customer service they receive, and by supplying cutting edge service and event technology solutions. To support our drive, vision and ambition, we have set out to create a best in class Customer Care service for our customers, clients and partners, by drawing on best practices in high-tech and the events industries, and consolidating these around our business and services.  The Registration function sits within the GSMA’s Customer Care department.

Role Overview

The Partner Program Registration Coordinator will work within the Customer Care Department as part of the Registration team. This position will play a pivotal role in the Mobile World Congress Americas project team and will ensure that an effective registration process is in place during pre-launch, live registration, on-site, and post event. This position reports to the Registration Project Manager and is expected to attend MWC Americas for a period of 6 – 8 days to ensure the effective delivery and execution of the registration processing and event execution.

Key Responsibilities:

  • Develop a comprehensive understanding of the MWC Americas registration system and processes
  • Participate in system pre-launch testing
  • Create communications, including training presentations, user guides, and FAQs
  • Set-up and manage Partner Program system user accounts for partners, industry partners, and training partners
  • Serve as the registration contact and expert in bi-weekly calls with event partners
  • Manage training programs for the induction of previous and new users to the system, to include developing/revising training material, scheduling training sessions, and providing re-training and assistance
  • Process system errors via the internal and/or external IT and systems support team, including all necessary follow up
  • Manage registration and access items via the Online Event Manual (OEM)
  • Provide day-to-day updates to the project and registration teams on system user uptake, training scheduling, training program effectiveness
  • Manage partner program scanning requirements pre-event and onsite
  • Manage program attendee access rights
  • Determine scanning temporary staff requirements and training
  • Oversee the Program Application System (PAS)
  • Oversee MWC Americas registration requirements for additional projects approved by the Senior Registration Project Manager
  • Provide project feedback on an ongoing basis to the debrief
  • Set-up system accounts for MWC Americas Tours and train the Tours coordinator to register attendees and access on-site reports

Role Specification

  • Experience with registration in an events environment is a must, gained either within an agency, association or client environment
  • Experience in international events preferred but not a must
  • Excellent interpersonal and communication skills
  • High MS office proficiency, specifically Excel
  • Ability to learn new systems quickly
  • Supplier management experience
  • Excellent project management skills, including management of project plans, timelines and reporting
  • Must be able to work under pressure and to tight deadlines
  • Ability to work independently with minimal supervision
  • Energy, commitment and drive
