The Event Technology Project Manager (ET PM) is a key part of the event system delivery team supporting the planning, delivery and reporting output of the events team at GSMA Ltd.

The ET PM will need to apply their strong analytical and project management skills to interpret business needs into process, application and operational requirements, with the aim of providing to the business fit for purpose technology solutions. Working with vendors and / or supply units, the ETPM will assess solutions and presenting these with a cost analysis to senior stakeholders as part of the business case approval process.

The ET PM will also work closely with GSMA IT and Legal consultants to ensure all systems infrastructure and system architecture meet GSMA’s standard levels of Information Security and adheres to its policies and guidelines surrounding Data Policy.

The ET PM will manage projects through the design, development and delivery stages, including the management of comprehensive test and release plans, and the support function once systems are live, including onsite support at events globally.

This is a predominantly business / internal client facing role, responsible for supporting business change initiatives and system enhancements with focus on ROI, including Business Case and Requirements Analysis for proposed solutions to internal business unit(s).  The chosen candidate will be highly involved in User Acceptance Testing, support the development of training and implementation material and provide post-implementation support.  Further, they will support the Snr ITPM, Event Technology in ensuring that development project plans are adhered to and kept up to date.

Since the role will support our main event - Mobile World Congress Barcelona, there will be a requirement for international travel and onsite support during the event in Barcelona. Additionally, there will be the need to manage delivery of work and co-ordination with stakeholders based in multiple time-zones.

Key Responsibilities

Systems Support and Implementation of:

  • Public Registration Websites & Payment Gateways
  • Press Accreditation Systems
  • Attendance Application Systems
  • Exhibitor & Partner Invitation Management Systems
  • Registration and associated Mobile apps
  • Communication tools (email blasts, tailored mass emails, SMS, MMS, other)
  • Reporting suite applications
  • Onsite Registration (badge collection) interface & applications, and access control systems

Pre event Process Management:

  • Support full system delivery lifecycle from planning through to final delivery and post eventdebrief, assisting with planning and supporting enforcement of project deadlines and schedules

  • Support the vendor delivery of the registration systems to include:

    • Providing brief to vendor and working with vendor for possible solutions

    • Comment on vendor proposed solutions to business requirements and problems

    • Presenting recommended options to Business stakeholders

    • Acquiring quotations and updating budget

    • Creating and updating Project Plan and initiating timelines

    • Ensure system user documentation is created and work with the relevant Registration Managers to ensure effective user guides are created

    • Support the Customer Care team and Registration FAQs and other supporting material required for go live

  • Coordinate and schedule project meetings with internal / external stakeholders and vendors, diverse stakeholder management

  • Gather and document business requirements, tracking change requests; using Project Management and collaboration tools such as

  • Design process map, workflows, use cases and creation of Data Flow Diagrams

  • Budget Management

  • Manage thorough and documented UAT process leading to system sign-off and launch.

  • User support; training materials creation, system introduction

  • Reporting – data analysis and project status

  • Manage Information security requirements with IT and Legal teams

Criteria for selection

  • Event Industry experience, having worked on large scale projects within a corporate, association and/or agency environment

  • Proven Technical Project Management with technical expertise and practical experience of PM and IT tools ideally with Project Management qualification e.g. Agile, Scrum

  • Ability to work under pressure and to tight deadlines, upholding excellent attention to detail with a Self-starter’ attitude to work, able to take initiative, problem solve and work autonomously to drive projects forward

  • Excellent communication skills and to engage with Stakeholders irrespective of levels and seniority

  • Experience in managing systems development to security standards of ISO27001, OWASP 10 and Systems Security (Concept of Security by design)
